Refund & Cancellation Policy

Organizing premium, multi-layered sports tournaments requires significant upfront logistical commitments regarding venue hire, professional referee scheduling, and digital scoring setup. Therefore, our refund and cancellation policies are structured to protect these operational dependencies while remaining fair to our corporate and amateur clients.

Deposit Structure

A non-refundable 30% deposit is required upon final approval of the tournament blueprint to officially lock the event date and initiate the operational timeline. The remaining 70% balance is strictly due 7 days prior to the first scheduled match or kickoff. Failure to clear the final balance may result in the forfeiture of the deposit and the cancellation of the event package.

Eligible Cancellation Windows

If an organizer chooses to cancel the event entirely, the following refund structure applies based on the timeline prior to the event date: - Cancellations made 14 days or more prior to the event date: The client is eligible for a full refund of any deposits or balances paid, minus a nominal 5% administrative processing fee. - Cancellations made between 7 and 13 days prior: The 30% deposit is retained to cover non-recoverable venue reservations; any remaining balance paid is refunded. - Cancellations made less than 7 days prior: No refunds are issued, as staffing, broadcasting tech, and venue logistics are fully locked.

Rainouts and Weather Policy

For outdoor tournaments (e.g., 5-a-Side Weekend Opens, Beach Volleyball), extreme weather can pose safety risks. If the contracted premium venue officially declares a "rainout" or the playing surfaces are deemed unplayable by the lead referee, Stoixia Tournaments will automatically trigger our contingency protocols. In this instance, the event will be rescheduled to a mutually agreeable date within 60 days without any financial penalty or loss of deposit to the client. Outright refunds for rainouts are not provided unless rescheduling is categorically impossible.

Refund Timeline

Approved refunds are processed back to the original method of payment (corporate bank transfer or credit card) within 7-10 business days of the formal cancellation acknowledgment.
